Help article - Generating PDF documents from form submissions

PDF documents let you generate a formatted PDF for every form submission. Upload your own PDF template, place form answers (including signatures) where you want them, and NeetoForm will fill in a new copy for each submission.

This is useful when a plain-text email isn't enough, and you need a branded document, such as an onboarding form, signed agreement, or contract. You can also attach the generated PDF to the emails sent to the submitter and your team.

Upload a PDF template

  1. Open your form and go to Settings > PDF documents.

  2. Click Add new document. If you haven't added a document yet, the same button appears in the middle of the page.

  3. Drag your PDF into the upload area, or click it to pick a file from your computer. The file must be a PDF and 10 MB or smaller.

  4. Click Save.

  5. The document opens in the editor as soon as it is uploaded, so you can start placing answers on it right away. To come back to the list, click the back arrow at the top left.

Manage your PDF documents

The PDF documents page lists every document you have added, along with its Name, File, Size, and when it was last Updated.

  1. Click a document's name to open it in the editor.

  2. Click the menu on the right of a row to Edit, Clone, or Delete the document, or to jump straight to an email using Attach PDF to email.

  3. To rename a document, open it and edit its name in the top bar of the editor.

Map form answers to the PDF

  1. Open the document. The editor opens on the Map fields tab.

  2. In the Add new element panel on the left, find the answer you want to place. Use Search elements to filter, or scroll to the Answers and System sections. System holds values NeetoForm fills in for you, such as Form name, Submission ID, and Submission date.

  3. Click an element to drop it onto the page, or drag it to exactly where you want it.

  4. Drag a placed field to reposition it, or drag its edges to resize it.

  5. Click a placed field to open its settings on the right. You can set the Font, Size, Format (bold, italic, underline), Font color, and Alignment.

  6. Use Long answer behavior to decide what happens when an answer is too long for the area you drew:

    • Wrap & clip wraps the answer and truncates whatever doesn't fit.

    • Shrink to fit shrinks the answer down to the Minimum font size you set, and truncates only after that.

  7. To take a field off the document, select it and click Remove from document.

  8. Use the and + controls in the top bar to zoom the page between 50% and 200%.

  9. Click Save when you're done.

Preview the PDF with real data

  1. In the editor, switch to the Preview with data tab. NeetoForm renders your template with the answers from an actual submission.

  2. Use the arrows beside Submission 1 of N at the top of the page to move through your submissions, starting with the most recent one.

  3. Click Download PDF to save the generated copy.

Attach the PDF to email notifications

You can attach the generated PDF to the emails NeetoForm already sends. Choose where you'd like the PDF to be included.

Send the PDF to the form submitter

  1. Go to Settings > Send email to form submitter. You can navigate here from the PDF as well.

  2. Scroll to the Attachments section below the message.

  3. Select the PDF documents you want to attach. The ones you select also show up in the email preview on the right.

  4. Click Save changes.

Send the PDF to yourself or your team

  1. Go to Settings > Receive email notification. You can navigate here from the PDF as well.

  2. Scroll to the Attachments section below the message.

  3. Select the PDF documents you want to attach.

  4. Click Save changes.
